Project Coordinator

SUMMARy

A Project Coordinator (PC) fulfills various duties and responsibilities while working closely with team members across a variety of departments to create comprehensive action plans concerning resources, budgets, and timeframes for projects.

A PC will perform the full range of our phased management cycles: initiating, planning, executing, monitoring, controlling, and closing. Another focus of the role is to learn and retain as much information as possible in preparation for progression into a Project Manager (PM) position.


Responsibilities

  • Maintains project management standards by providing solution-driven resources
  • Answers customer questions and general inquiries
  • Conducts and participates in outreach efforts related but not limited to lead generation and sales
  • Enforces company policies and procedures
  • Promotes client retention through departmental initiatives as identified by management
  • Adopts special projects from time to time as assigned by management based on the needs of the business
  • Supports cross-departmental functions by developing an advanced understanding of key responsibilities that are either shared or siloed
  • Manage projects including but not limited to: consulting, invoicing, and calendaring while providing a seamless client experience
  • Master product knowledge and its translation to marketing solutions and needs
  • Develop an understanding of creative quality assurance
  • Identifies and determines system improvement
  • Learns how to translate project management workflows into other projects that are not product- or service-specific
  • Conducts cold or warm outreach calls
  • Participates and engages in company culture while contributing to talent retention

SKILLS AND QUALIFICATIONS

  • Excellent customer service, outreach, communication, and sales skills
  • Strong analytical, problem solving, and decision-making skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced and at times stressful environment
  • Customer Relationship Management (CRM) software fluency
  • Proficient with Google Workspace and other word processing software

WORK HOURS

This is an hourly non-exempt position. Minimum requirements average at 8 hours per day or 40 hours per week. Work hours are dependent on the needs of the business and the completion of projects. Some days may require more than 8 hours with overtime opportunities. Limited weekend availability may be required. Our standard operating hours are from Monday-Sunday, 9:00 am PST to 6:00 pm PST.

EDUCATION AND EXPERIENCE QUALIFICATIONS

  • High school diploma or equivalent required
  • Undergraduate degree or equivalent work experience preferred
  • 2-3 years of experience in customer service, administrative assistance, or supervisory role required
